Important Info

Show Times:
The show times are Saturday, October 6, from 10:00 a.m. till 5:00 p.m. and Sunday, October 7, from 10:00 a.m. till 4 p.m. When you check-in you will be given Vendor Badges and additional information about the show.

Booth Construction:
The building will have spaces marked to indicate the area for each exhibitor's booth and number. Exhibitors will need to provide their own table, chairs, backdrop, side dividers & power strip. Each booth will be provided with an 110V electrical outlet (if specified on contract.) 220V is available by pre-arrangement only. No exhibit or display may be so high along the sides or front as to interfere with the view of show patrons or neighboring exhibits. Please study carefully the diagram for booth construction guidelines.

Backdrops should be kept to a maximum of 8 feet in height up to the first 5 feet from the back wall and a maximum of 4 feet high the first 5 feet from aisle. Nails and screws are not permitted in building walls; no signs may be attached to wall above booth.

If you are in violation of booth construction, you will be asked to take down the portion that is not in compliance. Jump to Top

Exhibits & Signs:
You may only exhibit or display the product or service listed on your exhibitor agreement. Unless specifically approved in advance, all signs, literature, etc., are limited to exhibit booth space. Jump to Top

Outside Exhibitors:
Tents may be used so long as no stakes are driven into the pavement. Size should be limited to no larger than 20 feet across by 10 feet deep constituting an exhibit space. Not all booths have access to power. If you need power, please indicate on Vendor Application. Jump to Top

Wall Attachments:
PLEASE-NO NAILS, SCREWS, OR TAPE PERMITTED ON ANY BUILDING WALLS. No signs may be attached to walls around booths. NO CANOPIES ALLOWED INSIDE THE BUILDINGS! Jump to Top

Show Time Parking:
All exhibitors must park their vehicles in Parking Lot 4 during show hours. No exhibitor cars may remain in the Main Parking lot once the show is open. Jump to Top

Set Up Times:
Main, Sugar Pine, 49er Tent, & Northern Mines Building
Your booth(s) will be clearly marked with your company name & space number. Please keep your booth construction within the boundaries designated by masking tape on the building's floor. Set-up times will be Thursday, April 24, from 8 a.m. to 5 p.m., Friday, April 25, from 8:00 a.m. to 8 p.m. and Saturday, April 26, from 7:30 a.m. to 9:30 a.m. All booths MUST be completely finished and exhibitor vehicles moved to gate #5 parking lot by the time the show opens at 10:00 a.m. on Saturday the 26th.

Main Outdoor Exhibitors
Set-up for outdoor booths will be Thursday, October 4, from 8:00 a.m. to 5:00 p.m. and Friday, October 5, from 8 a.m. to 8 p.m. and Saturday, October 6, from 7:30 a.m. to 9:30 a.m. All booths MUST be completely finished and exhibitor vehicles moved to gate #5 parking lot by the time the show opens at 10:00 a.m. on Saturday the 6th.

Senior Citizens Building
Your booth(s) will be clearly marked with your company name & space number. Please keep your booth construction within the boundaries designated by masking tape of the building's floor. Set-up times will be from 5:00 p.m. until 8:00 p.m. on Friday, April 25 and from 7:30 a.m. until 9:30 a.m. on Saturday, April 26. All booths MUST be completely finished and exhibitor vehicles moved to gate #5 parking lot by the time the show opens at 10:00 a.m. Saturday, April 26. All exhibits must be torn down Sunday night after the show. NO EXCEPTIONS!

Security: Security will be provided from Thursday, April 24th, from 5:00 p.m. till 8:00 a.m. Friday, April 25th, and back again Friday, at 5:00 p.m. till 7:30 a.m. Saturday, April 26. Security will report back at 5:00 p.m. Saturday, April 26 till 8:00 a.m. Sunday, April 27.

Teardown Time:
TTeardown will be Sunday, April 27 from 5:00 p.m. until 8 p.m. PLEASE DO NOT start to tear down before 5:00 p.m. (If pedestrian traffic slows to a point where there is no need for the show to continue, the show director will notify you). Trash Removal:
Exhibitors are responsible for hauling away their own trash.
Do not leave trash in your booth area after breakdown on Sunday.
The Waste Management of Grass Valley disposal bins outside each exhibit building are not for use by show exhibitors.
They are provided for the convenience and use of our general public show attendees. Please haul your cardboard and trash out!
If trash or displays are left behind, The Union will dispose of them and charge you a $150.00 clean-up fee. TAKE YOUR GARBAGE WITH YOU! Jump to Top

Licenses & Permits:
State Tax: The State requires every company complete the Board of Equalization form (800 400-7115). A resale number is needed for any exhibitor who takes orders or sells at the show. Please provide this information to the Show at least three weeks before the show. The tax rate is 7.375%.

Health Permits: If you distribute any type of food sample, prepare and or serve food or beverages, you must register with Nevada County Health Department,. If you have not received an application, please call us asap. Your completed application and fees must be received 4 weeks before the show. An additional $10 late fee will be assessed after this date. You will not be allowed to set up if the application and fees have not been received. Jump to Top

Deliveries & Unloading:
Deliveries: If you have deliveries, direct the carrier to the lobby of the Main Building at 11228 McCourtney Rd, Grass Valley, CA 95949. We will accept deliveries on your behalf but are not responsible for anything damaged or missing. You must make your own arrangements for delivery pick-up after the show. The Fairgrounds does not have a freight office. Remember to bring any supplies, including dollies, etc.

Show Vehicles: All vehicles that will be on display inside must adhere to the following: There can only be a 1/2 tank of gas in the vehicle and the gas cap must be secured. If the gas cap does not lock, tape must be placed to sure it. The Battery must be disconnected. Protection must be placed under the oil pan and transmission to catch any spills or leaks. Jump to Top
